Planning a sports banquet is a lot like coaching a season — you need a game plan, a timeline, and a team that executes. Here's exactly what to do in each of the 8 weeks leading up to your big night.
Week 8 — Set the Foundation
- Pick a date — Check the school calendar, avoid exam weeks, holidays, and other major events
- Choose venue — School cafeteria? Local banquet hall? Restaurant? Church basement? Book now.
- Form committee — Coach + booster club rep + 2-3 parent volunteers
- Set budget — Typical range: $15-35 per person including food, decorations, and awards
Week 7 — Plan the Program
- Determine menu — Buffet vs plated? Caterer or potluck? Check dietary restrictions
- Send save-the-date — Email to parents and athletes, post on team social media
- Order awards — Trophies, medals, plaques typically take 2-3 weeks to produce
- Choose decor theme — Team colors, sport-specific decorations, table arrangements
Week 5-6 — Order & Organize
